Local AI for document copies: redacting selected information
Before sharing project materials with a contractor, you may need copies without selected details or internal notes. An assistant can suggest areas for redaction under agreed rules. The application should produce a separate, reviewed copy with a decision log, preserving the required parts of the document.
Define the rules for the particular disclosure first
The responsible employee specifies what must be redacted, who will receive the copy and what must remain readable. The list may include selected contact details, internal codes or notes. The word “confidential” alone does not provide a verifiable list of fields for the software.
Keep the source file separately with its access permissions. Link each model suggestion to a rule, page and document region. Refer unclear content to an employee; the application must not decide what may be disclosed solely by analogy with a similar example.
Proposing a region and actually removing its contents
For PDFs, distinguish a visible mark from applying redaction to the underlying content. The PyMuPDF documentation describes applying redaction annotations and removing affected text when the file is saved appropriately. Image and graphics processing settings require separate consideration.
The application must therefore process the document format rather than simply drawing rectangles over a page. In a scan, information may exist both in the image and in a recognized text layer. Check attachments, comments and metadata separately when they are included in the agreed disclosure scope.
Review the output copy using reference examples
Prepare a text PDF, a scan with an OCR layer, a table containing repeated values and a file with an attachment relevant to the disclosure. Mark in advance what must be redacted and what must remain. The reviewer checks both missed regions and unnecessary removals that make the document unusable.
After processing, open the actual output file. Check its appearance, search and text extraction in the relevant regions, together with the agreed additional elements. Retain the rules version, list of approved regions and link between the output and its source. Renaming the original document does not create a reviewed copy.
What to include in the server project
Specify formats, file sizes, document counts, rules, access groups and the approval process before releasing a copy. Include document parsing, model suggestions, the review interface, content processing and output verification separately. The pilot described here does not include automatic delivery to external recipients.
Select the hardware and model using the reference set and acceptable queue size. After updates, rerun examples containing text, images and additional layers, retaining sources and approved decisions. Accept the application against the agreed rules on tested cases, without promising automatic detection of every unknown type of information.
Questions before ordering
Is covering the text with a coloured rectangle enough?
A visible mark may leave the underlying content accessible. Use a suitable processing tool and verify the saved output file, including the agreed layers and additional elements.
Can the model identify everything that should be hidden?
The responsible employee defines the disclosure rules. The model proposes candidates for review; unknown or ambiguous cases remain questions, and the final copy undergoes the agreed checks.
